DD Forma (“we”, “us”) is a design and production-documentation studio based in Vaughan, Ontario. This page explains what information we collect through www.ddforma.com, why, and how we look after it.
01What we collect
When you send an enquiry, we collect the details you enter: your name, shop name, email, phone (optional), city, the service and project type you are interested in, your timeline, your message, and any files or links you share (such as floor plans, sketches, photos or drawings).
02Why we collect it
We use this information only to reply to your enquiry, prepare a quote, and, if you hire us, carry out the project. We do not sell your information and do not use it for advertising.
03Your consent
By ticking the consent box and sending the form, you agree that we may contact you about your enquiry. You can withdraw consent at any time by emailing us, and we will stop contacting you.
04Where it is stored and who handles it
Form submissions are received through our hosting provider, Netlify, and our email is run on Google Workspace. These providers process information on our behalf and may store it on servers outside Canada, including in the United States. We do not share your information with anyone else, except where the law requires it.
05Confidentiality of your files
Your project files and your clients’ details are kept confidential and are used only for your project. A non-disclosure agreement is available on request.
06How long we keep it
Enquiries that do not become projects are deleted after 24 months. Project files are kept for 3 years after delivery so we can support you with changes and questions, then deleted unless you ask us to keep or remove them sooner.
08Your rights
You may ask to see the personal information we hold about you, correct it, or have it deleted. Email us and we will respond within 30 days.
09Security
We use reasonable measures to protect your information, including access controls on our accounts. No online system is completely secure, so please do not send sensitive personal information through the form.
